Become an Event Partner: your checklist
Nine steps from a new account to a tournament with an agenda and volunteer shifts. Do them in order, and open the Help article on any step for the detail.
The steps
Create your gainingSTEAM account
Everything else, from requesting a role to planning an event, hangs off your signed-in profile.
Get certified as an Event Partner
The Event Partner credential comes from the Global Robotics & Science Foundation, and it is what lets you host official VEX IQ events.
Record your certification on your profile
Your certification details on file are what let gainingSTEAM staff validate your role request.
Request the Event Partner role
Event Partner is a vetted role, so an admin approves it before the tournament tools appear. Sign in again after approval so the new role takes effect.
Create or join an organization
Every tournament is filed under an approved organization. New ones wait for staff approval, and you can also join one by invitation.
Create your event on VEX Events
Teams register through VEX Events, and the event listing there gives you the SKU that links it to gainingSTEAM.
Create the tournament and enter your SKU
Entering your VEX Events SKU pre-fills the name, dates and venue, so you do not retype what the listing already says.
Build the agenda
A written schedule tells volunteers, coaches and families when everything happens on the day.
Set up volunteer shifts
Shifts let volunteers see what is needed and sign up, so your event is staffed before the day.
Good to know
