Data Deletion Request
How to request deletion of your gainingSTEAM account and personal data.

If you have a gainingSTEAM account or have given us personal information, you can ask us to delete it. This page explains what data we hold, how to request deletion, and what happens after you ask.
What Data We Hold
Depending on how you have interacted with gainingSTEAM, we may hold:
- Account profile: name, email address, and a unique identifier from your sign-in provider (Google, Microsoft, or Facebook), or your email and password if you created a local account.
- Volunteer information: shifts you signed up for, events you attended, role assignments, and any volunteer-specific notes.
- Communication records: emails you have sent us and our responses.
- Donation records: if you have donated, transaction details (amount, date, payment method) — see "What We Cannot Delete" below.

How to Request Deletion
Send an email to [email protected] with the subject line Data Deletion Request.
In the email, please include:
- The email address associated with your gainingSTEAM account.
- Which sign-in method you used (Google, Microsoft, Facebook, or local email/password) — this helps us locate the right record.
- Any other identifiers you remember (volunteer name on file, recent event attended, etc.) if your email might match more than one record.
We may ask you to verify your identity by replying from the same email address on file before we process the deletion.
What Happens Next
- Within 5 business days of receiving your request, we will confirm by email that we received it.
- Within 30 days of confirmation, we will delete your account and associated personal data, except as noted under "What We Cannot Delete" below.
- We will send a final confirmation email when deletion is complete.
What We Cannot Delete
Some data we are required to retain under law, even after a deletion request:
- Donation records: as a 501(c)(3) non-profit, we retain donation transaction records for tax and audit purposes (typically 7 years). After your account is deleted, these records are kept in a minimized form (transaction date, amount, processor reference) without ongoing personal contact information.
- Records subject to active legal process: if any of your data is the subject of an active investigation, subpoena, or legal hold, we will retain it as required by law and notify you that we have done so unless prohibited.
- Backups: deleted data may persist in backup systems for up to 90 days while routine backup rotation completes. Backups are not used for ongoing operations and are deleted on the regular rotation schedule.
Federated Sign-In Accounts
If you signed in to gainingSTEAM using Google, Microsoft, or Facebook, deleting your gainingSTEAM data does not delete your account with that provider. To remove gainingSTEAM's access from the provider's side, also visit:
- Google:myaccount.google.com/permissions
- Microsoft:account.live.com/consent/Manage
- Facebook: Settings & privacy → Settings → Apps and websites → remove gainingSTEAM
Revoking access on the provider's side is optional — gainingSTEAM no longer holds your information once we have completed your deletion request — but it ensures the provider stops listing gainingSTEAM as an app you have authorized.
