Teams register for official VEX IQ events on VEX Events at events.vex.com. VEX Events is the system of record for teams and event registration. gainingSTEAM doesn't replace it. We help with the local operations around your event: the agenda, volunteers, checklist and equipment.
So an Event Partner's event has two homes: the listing on VEX Events, where teams find and register for it, and the tournament in gainingSTEAM, where you plan and run it.
Create the listing on VEX Events
Your event's listing is created on VEX Events, not in gainingSTEAM. gainingSTEAM does not document the screens or fields on it. For how to set up an event there, use the official guidance from Global Robotics, starting with Becoming an Event Partner (Global Robotics).
Find your event's SKU
Every event on VEX Events has a code, called its SKU. It looks like VE-IQ-26-65738 (older events may show the older RE-VIQRC-26-4602 form), and you should copy it exactly as VEX Events shows it, including the prefix. This is the code you'll enter in gainingSTEAM.
Enter the SKU when you create the tournament
In the tournament form, the first step asks Listed on VEX Events already? and has a box for the code.
- Open Manage Tournaments and select New Tournament.
- Enter your SKU in the VEX Events code box.
- Select Pre-fill from VEX Events.
gainingSTEAM looks the SKU up on VEX Events and fills in what the listing already says, so you don't retype it: the event name, dates, location, team capacity, and competition level, where VEX Events has them.
A few things to know:
- It only fills empty fields. Anything you've already typed is left alone, and a note under the box tells you what was filled.
- It only reads. gainingSTEAM never changes your listing on VEX Events.
- Skipping it is fine. If the SKU isn't found (the event may not be published yet), or VEX Events can't be reached, you can fill the form in by hand and plan first. You can add the code whenever the listing exists.
